About this policy
The short version
This policy covers altdata.com.au. It explains how ALTDATA Pty Ltd (ABN 46 657 327 592) handles information from website visitors and enquiries. It does not cover personal information handled under a separate customer, research or employment arrangement.
We collect the information needed to run the website, answer enquiries and manage work that follows. We do not sell personal information, use it for unrelated marketing or knowingly collect patient information through this website.
ALTDATA does not provide a health service. We have chosen to use the Australian Privacy Principles as a practical guide to handling website information, even where the Privacy Act 1988 (Cth) may not require us to do so.
What we collect
When you contact us
Our contact form collects:
- Name, work email, enquiry type and message. These fields are required so we can understand and answer the enquiry.
- Organisation. This field is optional.
- Submission time and IP address. These are recorded with the enquiry for security, troubleshooting and an accurate record of when it arrived.
We use this information to answer you, assess whether ALTDATA is relevant to the work, manage any conversation or work that follows, protect the form from misuse and keep appropriate business records. If the conversation develops, the enquiry may be copied into our customer relationship management system for those same purposes.
We do not add contact-form enquiries to a marketing list, sell or rent their details, or use them for an unrelated purpose.
Please do not send sensitive information
This website is intended for organisations and adult researchers. The contact form is not designed for patient-identifiable information, personal health records or other sensitive personal information. Please do not include that material in a message. If we receive sensitive information that we do not need, we will delete it when it is lawful and practical to do so.
Information collected automatically
Google Analytics, only with your consent. We use Google Analytics 4 to understand how people find and use the site. It stays off unless you select Accept in the cookie bar. When enabled, it can collect page views, referral source, general device and browser information, approximate location and interactions with the site. We do not send names, email addresses or contact-form content to Google Analytics. Google uses an IP address briefly to derive location information and then discards it before the address is logged or stored in Google Analytics.
We configure Google Analytics without Google Signals, advertising personalisation or User-ID. User-level and event-level data is retained for 14 months. Standard aggregated reports may remain available for longer because they do not contain the underlying user-level records.
Cloudflare Turnstile. The contact page uses Turnstile to distinguish people from automated submissions. It processes technical signals about the browser and connection, including the IP address, but Cloudflare states that Turnstile does not read, store or transmit the form message or other form entries. This check is necessary for the form and loads only on the contact page.
Server logs. Our hosting provider records standard request information such as IP address, date and time, requested page, browser details and error information. We use these logs for security, reliability and troubleshooting.
Cookies and choices
Analytics stays off until you agree
Your analytics choice is stored in your browser’s local storage. If you accept, Google Analytics loads and may set analytics cookies. If you decline or do nothing, it does not load. The rest of the website works either way.
You can change your choice by clearing the stored data for altdata.com.au in your browser. The cookie bar will ask again on your next visit.
Turnstile uses short-lived technical identifiers for the security check on the contact page. We do not use advertising cookies, tracking pixels, cross-site advertising tools or social media embeds.
Storage and sharing
Where information is held
The website and its contact-form backup are hosted in Australia. Enquiries are also sent to our team email inbox and may be recorded in a CRM if the conversation develops. Within ALTDATA, access is limited to founders and employees who need the information to answer the enquiry or manage resulting work. Backups of website enquiry records are kept in Australia.
Service providers
We use service providers for hosting, email, customer relationship management, analytics and spam protection. They process limited information for us under their own service and privacy terms. Their authorised personnel may access information where necessary to operate, secure or support those services.
Google and Cloudflare operate internationally. Analytics data, if you consent, and Turnstile technical data may be processed outside Australia, including in the United States. Our email or CRM providers may also use overseas infrastructure or support personnel. You can email us for the current provider and data-location details.
We may disclose information if required by law, or where reasonably necessary to protect the security of the website, our users or our legal rights. We do not give service providers contact-form content for their own marketing.
Retention and control
How long we keep information
Our normal retention periods are:
- Server logs: 30 days, unless an entry is needed to investigate a security or reliability incident.
- Contact-form backup: 12 months from submission.
- Enquiry email and CRM records: 24 months after the last meaningful contact.
- Google Analytics user-level and event-level data: 14 months.
- Records connected with resulting work: up to seven years after the work ends where needed for contracts, financial records, disputes or another lawful business purpose.
We may keep a record longer where the law requires it, or while it is reasonably needed for a security incident, complaint or legal claim. When information is no longer needed, we delete or de-identify it. Residual copies may remain briefly in protected backups until the normal backup cycle replaces them.
Access, correction and deletion
You can ask what personal information we hold about you, request a correction or ask us to delete it. Email info@altdata.com.au. We may need to verify your identity before acting, and legal or operational reasons may sometimes prevent immediate deletion. We aim to respond within 30 days and do not charge for making a request.
Questions and complaints
Send privacy questions or complaints to info@altdata.com.au. Tell us what happened and what outcome you are seeking. We will acknowledge the complaint, investigate it and aim to provide a response within 30 days.
If you remain concerned, the Office of the Australian Information Commissioner can explain whether it is able to consider the matter. Nothing in this policy limits any right you have under applicable law.
Security and data incidents
We use HTTPS, restrict access to founders and employees who need it, and keep the contact-form backup outside the public website. No system is completely secure. If an incident affects personal information, we will contain and assess it, take reasonable steps to reduce harm and notify affected people or a regulator where required by law or appropriate in the circumstances.
Children
This website is intended for organisations and adult researchers, not children. We do not knowingly collect personal information from anyone under 18 through the website.
Changes and contact
If our website practices or providers change, we will update this page and the date at the top. For a copy of this policy in another accessible form, or for any privacy question, email info@altdata.com.au.
